1. Service Description

Sarah AI provides virtual receptionist services specifically designed for medical spas and aesthetic practices. Our AI-powered service handles customer inquiries, appointment scheduling, and lead qualification 24/7 through your website chat interface.

Service Features:

  • Appointment booking and scheduling assistance
  • Lead qualification and customer information capture
  • Integration with popular calendar systems
  • Customizable responses for your specific services
  • Real-time notifications and lead reports

2. Pricing and Payment Terms

14-Day Pilot Program

  • Cost: $97 one-time payment
  • Duration: 14 days from service activation
  • Credit Applied: Full $97 credited toward first month if you continue to monthly service
  • Setup Time: 48-72 hours from onboarding completion

Monthly Service

  • Cost: $199 per month
  • Billing: Monthly recurring charge
  • Setup: $997 one-time setup fee (waived if upgrading from pilot)
  • Cancellation: Cancel anytime with 30-day notice

All payments are processed securely through Stripe. Taxes may apply based on your location.

3. Service Activation and Setup

Service activation begins after payment confirmation and completion of our onboarding process. You must provide:

  • Business information and service descriptions
  • Website access for chat widget installation
  • Calendar integration details (if applicable)
  • Pricing and service information
  • Preferred response tone and messaging

We aim to have your virtual receptionist live within 48-72 hours of receiving complete onboarding information.

4. User Responsibilities

You agree to:

  • Provide accurate business and service information
  • Maintain current pricing and availability information
  • Respond to qualified leads in a timely manner
  • Follow applicable healthcare and business regulations
  • Use the service only for legitimate business purposes
  • Not attempt to reverse engineer or copy our AI technology

5. Service Limitations

While Sarah AI handles most customer inquiries effectively, our service:

  • Cannot provide medical advice or diagnose conditions
  • May not understand highly complex or unusual requests
  • Requires human oversight for sensitive customer situations
  • Cannot guarantee 100% uptime due to technical dependencies
  • May require updates and improvements that could affect responses

You remain responsible for all customer interactions and business outcomes.

6. Data and Privacy

Customer interaction data is used to improve service quality and provide reports. We maintain strict data security standards and can provide HIPAA Business Associate Agreements for covered entities.

During the pilot period, we recommend avoiding collection of specific health information (PHI) until appropriate agreements are in place.

7. Cancellation and Refunds

14-Day Pilot Guarantee

If you don't generate at least 1 qualified lead within 14 days of service activation, we'll provide a full refund. See our Refund Policy for complete details.

Monthly Service Cancellation

  • Cancel anytime with 30-day written notice
  • No refunds for partial months
  • Service continues until end of paid period
  • Setup fees are non-refundable after service activation

8. Intellectual Property

Sarah AI retains all rights to our AI technology, software, and service methodology. You receive a limited license to use our service during your subscription period. All improvements and data insights generated remain our intellectual property.

9. Limitation of Liability

Our liability is limited to the amount paid for our services in the 12 months preceding any claim. We are not liable for indirect, consequential, or punitive damages, including lost profits or business opportunities.

10. Service Updates

We may update our service, features, and pricing with 30 days notice. Existing customers are grandfathered into current pricing for 12 months from any price increase announcement.

11. Governing Law

These terms are governed by Florida state law. Any disputes will be resolved through binding arbitration in Miami-Dade County, Florida.
